This Privacy Policy sets out the basis on which any personal data you provide to us, Executive Golf Events Ltd will be processed. For your information, this website Executive Events (our site) is operated and wholly owned by Executive Golf Events Ltd, registered in England with the company number 08711623. Executive Golf Events Ltd processes your data to register and book a place at our event, to fulfill our contractual obligation and provide our business service. 1. Information we collect about you When You Register.
When you register for an event, we will typically collect the following information:
• Name: to personalise your invitation and identify your booking
• Telephone Number: to contact you about the event or whilst at the event
• Email Address: to contact you about the event
• Shirt size: to provide you with a shirt for the event
• Company name, address: to identify your booking and send information about the event
• Gender: to provide you with a shirt & Tee off position required for the event

Further to the information above, for events abroad, we will typically collect the following information:

• Passport Number: to book your flight and hotel
• Passport Effective Dates: to book your flight and hotel
• Date of Birth: to book your flight and hotel
• Home address: to send you your tickets and information about the event

At some of our events, we will take photos on the day of attendees. These photos are uploaded to our third-party provider Flicka. You will be sent a link after the event to your event-specific gallery. If you do not wish to be included in photos, please let us know prior to the event.

2. Our Lawful Basis for Processing
The law on data protection sets out a number of different reasons for which a company may collect and process your personal data, including:
Consent
In specific situations, we can collect and process your data with your consent.
For example, when you tick a box to receive email newsletters from us.
Contractual obligations
In most instances, we will need your personal data to fulfil our contractual obligations of organising an event.
For example, if you register for an event abroad, we’ll use your passport details to book your flight.
Failure to provide accurate information may result in your place on the event being declined.
Legal compliance
If the law requires us to, we may need to collect and process your data.
For example, we will pass on details of people involved in fraud or other criminal activity.

3. Third Party Websites
Executive Events may contain links to third party websites. Please note that if you follow a link to any such website, we do not accept any liability or responsibility, because these websites have their own Terms & Conditions and Privacy Policies.

4. Disclosure of your data
Apart from our third-party gallery provider and our third-party email provider, we will only disclose your personal data to the following entities when necessary to complete your booking:
• Airline(s)
• Hotel(s)
• Transfer provider(s)
• Event venue(s)
In these instances, the entities above are data processors and we act as the data controller. If you have any issues or would like to exercise any one of your rights as detailed in Section 5, please contact us directly.
Except as provided above, Executive Events will not disclose your personal information to any third party unnecessarily; under certain circumstances the force of law may require the provision of information to the legal authorities. To maintain the integrity of our business and safeguard the interests of our customers, we will comply with any such legally binding request.

5. Your rights as a data subject
We are preparing ourselves for the EU General Data Protection Regulation (GDPR), which is why we wish to inform you that, as a Data Subject, you may exercise your right to:
• Be informed about your personal data
• Access your personal data
• Rectify your personal data (if it is inaccurate or not up to date for example)
• Have your data erased (‘right to be forgotten’)
• Restrict processing (in the instance that your data cannot be erased)

6. How long we keep your data for
We will keep your data for as long as necessary to fulfil our contractual obligations. At times, we may contact you to ensure the data we hold on you is accurate and up to date.

We are committed to protecting the security of your personal information.
All data stored in our databases can only be accessed by Andrew Elliott or Carl King who will only disclose your data to the entities outlined in Section 4. All systems and data are located in controlled and secure areas.
Unfortunately, the Internet is not a 100% secure medium for communication and, accordingly, Executive Events cannot guarantee the security of any information you send to us via the Internet.
In the event of a data breach that affects your personal data, we will notify you by email.
Executive Events is not responsible for any loss or damage you or others may suffer as a result of the loss of confidentiality of your data.

8. Changes to this Policy
In the event of updates to our service that materially expand the sharing or use of your personal information in ways not already disclosed to you, we will notify you by email and update this privacy policy accordingly. We will gain your consent for processing activities where necessary.
